Waitlist
A queue system that holds interested clients when no availability exists, notifying them when spots open up.
Definition
A waitlist allows clients to express interest when no available appointments exist. When another client cancels or new availability opens, waitlisted clients are notified in order. This maximizes booking density by filling gaps quickly and captures demand that would otherwise be lost. Waitlists work for fully-booked calendars, popular time slots, or limited-capacity events.
Examples of Waitlist
A popular hairstylist's next available slot is 3 weeks out
A fitness class at 6pm is always full but has cancellations
A consultant is booked for the month but has waitlist for cancellations
A limited workshop has 10 waitlisted for any no-shows
Why Waitlist Matters
Without a waitlist, cancellations create revenue gaps that remain empty. Potential clients bouncing on 'no availability' messages don't return. Waitlists recapture this demand and fill last-minute openings automatically.
How SchedulingKit Handles Waitlist
Enable waitlist for event types. When fully booked, clients can join the queue. Cancellations trigger automatic notifications to waitlisted clients. First to respond gets the slot. Track waitlist demand for capacity planning.

How are waitlist spots filled?
Typically first-come, first-served via notification. The first waitlisted client to respond to a cancellation notification gets the slot.
Can I manage waitlist priority manually?
Some systems allow prioritizing VIP clients. Standard waitlists are chronological—first to join, first to be notified.
