SchedulingKit

Appointment-Focused CRM for Physical Therapists

Online booking and reminders with basic contact records, not an EMR

SchedulingKit provides online booking, reminders, recurring appointments and basic contact records built from bookings. SchedulingKit is not HIPAA compliant and does not sign Business Associate Agreements (BAAs). It doesn't track plans of care, authorized visits, home exercise programs, outcomes or referring physicians.

PT clinics run on an EMR that holds evaluations, plans of care, visit authorizations and billing. SchedulingKit covers booking only. For example: a cash-pay client books a 60-minute performance session online; their record is created from their email with their phone number; staff add a non-clinical note such as "prefers early mornings, parks in back lot"; on Pro, a recurring series holds the same Tuesday 7 a.m. slot; and each visit is added to their booking history with total bookings and total spent. SchedulingKit is not HIPAA compliant and does not sign Business Associate Agreements (BAAs). Clinics that are HIPAA covered entities or bill insurance should use their EMR's scheduling or a HIPAA-compliant tool; SchedulingKit may only suit cash-based services where compliance allows.

CRM Features for Physical Therapists

Automatic Client Records

Every online booking creates or updates the client's record from their email address, with name, phone, address and notification preferences. Contact and booking details only; no clinical data.

Booking History

Each record lists upcoming and past bookings, total bookings and total spent, so you can see what a client usually books and when they were last in.

Recurring Sessions

On Pro and above, book a client into a recurring series instead of scheduling each session separately.

Packages and Prepaid Sessions

On Pro and above, sell cash-pay session bundles as a session-count or dollar-balance package. Balances are tracked per client and redeemed at booking; recurring packages bill through Stripe.

Reminders and Follow-ups

Email confirmations and reminders on every plan. On Standard and above, SMS reminders go to clients who opt in, and Workflows can send an email or SMS a set time before or after each appointment.

Deposits and Invoices

On Standard and above, take full payment or a deposit at booking through Stripe, PayPal or Square. The remaining balance goes on an invoice the client pays from a link; it is never charged automatically. For cash-pay sessions; there is no insurance billing.

Why Outcome Measurement and Exercise Compliance Define Physical Therapy Success

Physical therapy outcomes depend on what

Happens between sessions as much as during them. Home exercise compliance, pain trends and functional markers belong in your EMR, where therapists use them to adjust treatment plans. Without this longitudinal view, therapists rely on patients' subjective recall of their progress, which is notoriously inaccurate and often discouraging.

Referral relationships with physicians

The lifeblood of most PT practices. Knowing which doctors refer patients, and sharing outcomes from your EMR, strengthens referral partnerships. A PT practice that can report back to a referring orthopedist with documented functional improvements earns continued referrals over competitors who provide no outcome data.

For PT practices managing multiple therapists

Insurance authorizations, and visit-limited treatment plans, operational efficiency directly impacts profitability. Authorized visits, discharge dates and re-evaluation deadlines need to be tracked in your EMR or billing system; SchedulingKit does not track them. This systematic approach to practice management is what enables sustainable growth.

Why Physical Therapists Need CRM

Physical therapy practices manage clinically complex

Multi-visit patient relationships where treatment adherence directly determines outcomes. A typical PT plan involves 2-3 sessions per week over 6-12 weeks, with progressive exercise protocols that build on each other. Missing sessions or doing exercises incorrectly at home can set recovery back significantly.

Patient dropout

The most expensive problem in physical therapy. many PT patients don't complete their full plan of care, and each dropout represents lost revenue and a suboptimal clinical outcome. Reminders before every visit and prompt personal follow-up after a missed session address this problem.

Home exercise program (HEP) compliance

Another unique challenge. Physical therapists prescribe exercises for patients to do between visits, but without reinforcement, compliance drops rapidly. Encouragement about home exercises between visits improves outcomes and shows patients you're invested in their recovery.

Referral source management

Critical for PT practices because most patients come through physician referrals. Tracking which physicians refer the most patients, what conditions they refer for, and sharing outcome data with referring providers strengthens these relationships and increases referral volume over time.

Client Management Mistakes Physical Therapists Should Avoid

Not following up on missed visits

Track each patient's prescribed vs. actual visits and follow up when a patient misses one.

No system for reinforcing home exercise compliance

Encourage home exercise completion between visits with brief messages from your team.

Failing to communicate outcomes to referring physicians

Generate and send progress summaries to referring physicians at mid-plan and discharge to strengthen referral relationships.

Not following up with patients who complete their plan of care

Set reminders at 3 and 6 months post-discharge for wellness check-ins that may surface new issues or maintenance needs.

What to Look For in a Physical Therapists CRM

Plan of care adherence needs to

Be tracked at the individual patient level, typically in your EMR. You need to see at a glance which patients are on track with their visit frequency, who's falling behind, and who has stopped coming entirely. This visibility enables proactive intervention before patients fully disengage.

Each phase requires different messaging

Appointment reminders during active care, HEP encouragement between visits, and wellness check-ins post-discharge.

Referral source tracking also matters

Outcome measurement tracking belongs in your EMR.

This data is valuable for demonstrating efficacy to patients, physicians, and insurance providers.

Multi-therapist support with appropriate access controls matters for group PT practices.

Each therapist should see their patient caseload, while practice managers need a practice-wide view of utilization, cancellation rates, and patient flow. Patient records should be accessible across therapists for coverage situations.

How CRM Grows Physical Therapists Revenue

Plan of care completion

The most direct revenue lever in physical therapy. Each session a patient attends is billable revenue, and every dropout before plan completion is lost income. Reminders and re-engagement efforts keep patients on track, increasing the revenue per patient episode.

Reduced cancellation and no-show rates stabilize daily revenue.

Physical therapy clinics operate on tight schedules, an empty 45-minute slot can't be easily filled last-minute. Automated reminders before appointments help reduce no-shows and the resulting revenue gaps.

Physician referral development

The primary growth engine for PT practices. Sharing outcomes with referring physicians builds the trust that drives referral volume. This is a compounding effect, better data leads to more referrals leads to more outcome data.

Post-discharge patient reactivation represents warm leads for new episodes of care.

Life changes, new sport, new job physical demands, aging-related stiffness, create new PT needs. Check-ins some months after discharge catch these needs early, when the patient naturally thinks of returning to you.

Wellness and prevention programs represent a revenue diversification opportunity.

CRM data on your patient population's common conditions informs group classes, injury prevention workshops, and corporate wellness programs that generate revenue beyond traditional one-on-one treatment sessions.
