Most managers do one-on-one meetings to share feedback with employees. 1:1 meetings are the most flexible meetings concerning topic, outline, meeting agenda and nearly everything. You can conduct one-on-one meetings to cover several things like:

Make Your Mind

A typical mindset of all employees and managers is to take meetings as a piece of work. In other words, they take it as a burden. This mindset ruins the purpose of meetings, and the results will be zero.

We must develop a mindset that we will do something productive in these meetings. Take the reports with you to discuss the progress. A manager should be motivated enough to make the employees motivated. Your positive energy will encourage employees, and you will have a healthier discussion with this mindset.  

Do Preparation

You have to prepare yourself for the meeting; otherwise, the conversation will waste time. Study the reports, check the progress and evaluate the things before the meeting. Keep in mind the session’s purpose while preparing for the meeting.

List out the minutes of the meeting to pursue it appropriately. Write down the possible improvements in employee performance to make this meeting more effective. 

Make Recurring Schedule

You can’t get desired results if you seldomly do one-on-one meetings. Make recurring schedules according to the work requirements and share the schedule with your employees to make your 1:1 meetings effective. 

An appropriate schedule will bring effectiveness to the performance of employees because they will feel that they are answerable in the meeting for their performance in a certain period. Regular 1:1 meetings can be beneficial in the following ways.

Be Flexible

Use a flexible approach in 1:1 meetings to make them effective. Obviously! Inflexible meetings will not let you obtain creative ideas from employees. So, encourage your employees to give opinions about making improvements. Sometimes listening to employees’ perspectives can help you to make things better. 

It is Ok to be Informal

Don’t be afraid to be a little friendly in 1:1 meetings. Make your employees comfortable and then discuss positive or negative feedback. This attitude will help you to motivate employees.

Extremely formal conversation creates stress and anxiety in employees. So try to be less formal and welcome the comments from the employee’s side. 

It would help if you also ask employees about how they are doing and their experience in the organization. These random questions will develop their interest in meeting and help you to increase their work dedication. After all, employees’ dedication to the work is crucial for the organization. 

Communicate Clearly

Deliver the purpose of the meeting clearly. When employees understand your point of view, they can participate actively in the discussion. Clear and straightforward conversation helps to make actionable plans for the projects.

You can not obtain the desired results from 1:1 meetings if you give vague statements. So Make the communication clear and make things easy to understand for your employees. 

Listen Carefully

If you do not listen carefully, you can’t make the meetings effective. 1:1 meetings are the high time when you can listen to your employee and increase their job satisfaction through the following activities.

  • Understand the challenges they face in their projects
  • Clear the misunderstandings with employees
  • Provide career guidance to your employees

Take Notes

1:1 meetings often include intellectual conversations, and you can get, Ideas, clues, tips and tricks in random discussions. Please write it down instantly whenever something important is discussed in a 1:1 meeting. Also, note the pitfalls to make things better till the next 1:1 meetings. 

Discuss The Progress

Make your employees answerable about the progress of projects. It is essential to discuss the progress because Continuous progress discussion on current projects can help you in the following ways.

  • Identification of problems in early stages.
  • Take timely corrective actions.
  • Make follow-up plans.
  • Mind-making of employees about next steps.

You should also discuss the role of a particular employee in current projects. Meetings will be more effective if you ask them about their contribution and efforts in recent projects. It will help you to track employees’ performance and project activities.

Employees Support

Don’t always discuss stuff about organizational interests in the meeting. In 1:1 meetings, you can have informal discussions, and you should also discuss the employees’ well-being. For instance, you can talk about an employee’s career.

Employees usually seek guidance from their seniors about their careers, but sometimes they hesitate to discuss it. In 1:1 meetings, you shouldn’t sound too strict, so talk about your employees’ growth, benefits and goals and give them advice. In this way, you can get their attention, and they will also feel valued.
