Why Landscaping Services Need Scheduling Software

Landscapers can't answer the phone while

Operating a mower, trimmer, or skid steer. Every missed call during the workday is a potential recurring customer who will book with the next company on Google. When a single weekly mowing customer is worth a season of revenue, that adds up fast.

Seasonal demand swings make scheduling even harder.

Spring and fall cleanups create a surge of requests that overwhelm phone-based booking. Crews end up criss-crossing town because jobs weren't grouped geographically.

Landscaping scheduling software captures bookings 24/7

And keeps recurring customers on the calendar, so your revenue doesn't depend on picking up the phone. Planning which areas each crew covers on which day is still up to you.

Sound Familiar?

Landscapers lose jobs when they can't respond from the field. Phone calls during mowing aren't getting answered. You need booking that works while you work.

How SchedulingKit Solves This

Homeowners book an estimate visit at a time that's free.

Job Scheduling

Schedule maintenance, installations, and one-time jobs.

How SchedulingKit Works for Landscaping Services

From sign-up to your first booking in minutes, not days

1

Build your service menu

Define mowing, landscaping, seasonal cleanup and snow removal services with prices and durations, including size versions for small, medium and large lots.

2

Set up crews and equipment

Create crew profiles with their services and working hours. SchedulingKit doesn't assign equipment, define service areas or optimize routes.

3

Customers book or request estimates

Homeowners visit your booking page, pick a service or an estimate visit, and book directly. SchedulingKit doesn't take photos or custom property details with a booking.

4

Crews see their daily schedule

Each morning, crews check their bookings in SchedulingKit or their connected calendar, with customer contact details and notes.

5

Jobs complete and follow up

Crews mark jobs complete and the customer can receive a review request by email. Recurring jobs booked as a series on the Pro plan are already on the calendar.

Complete Feature Guide for Landscaping Services

Every tool you need to run scheduling for landscaping services, built into one platform

Service types

Mowing, landscaping, snow

Define weekly mowing, landscape design and installation, seasonal cleanup, irrigation and snow removal as separate services, each with its own price and estimated duration.

Different service categories

Lot-size pricing

Clear prices for common jobs

Create size versions of your main services (for example 'Weekly mowing: up to 1/4 acre') with their own price and duration. For custom work, offer an estimate visit instead. SchedulingKit doesn't collect lot details or photos with bookings.

Small, medium and large lots

Crew assignment

Assign crews to jobs

Set which services each crew offers and their working hours; on the Pro plan, Round Robin spreads jobs across crews. SchedulingKit doesn't group jobs by zip code or plan routes, so plan areas when you set crew hours.

Plan crew days

Recurring jobs

Weekly/monthly service

On the Pro plan, book customers as a recurring series for weekly mowing, bi-weekly maintenance or monthly landscape care. Customers pay per visit, use a prepaid package, or buy a recurring package billed through Stripe.

Predictable revenue

Seasonal booking

Fall/spring cleanup slots

Create seasonal services for spring cleanups, fall leaf removal and snow visits, and add them to your booking page when the season opens. Customers book early and you can see how many jobs are coming.

Busy season management

Deposits and invoices

Get paid for bigger jobs

On Standard and above, require a deposit or full payment at booking through Stripe, PayPal or Square. After a deposit, the balance is invoiced and the customer pays from the invoice link.

Installations and cleanups

Rain-day rescheduling

Move jobs when weather hits

When rain hits, reschedule affected jobs from your dashboard, and customers are notified of the new time. SchedulingKit doesn't reschedule by weather or move jobs in bulk, so it's one job at a time.

Rain delay management

Crew app

Each crew's day on their phone

Crew leads see their bookings, customer details and notes in the SchedulingKit app for iOS and Android. SchedulingKit doesn't track mowers, trailers or equipment.

Know where to go next

Follow-up Workflows

Suggest the next service

On Standard and above, a Workflow can email customers after a job with a link to book seasonal aeration, overseeding or hedge trimming. SchedulingKit doesn't show upsell prompts during booking.

Increase per-customer revenue

Review requests after each job

Customer feedback

When you mark a job completed, SchedulingKit can email the customer a review request (Standard plan and above). It doesn't store photos or job records.

A Day With vs. Without Scheduling Software

See how landscaping services businesses operate before and after switching to SchedulingKit

Before SchedulingKit

A homeowner calls while your crew is mowing. Voicemail. You call back during your lunch break. They wanted a quote for weekly mowing and a spring cleanup. You scribble the address, drive out to eyeball the lot, and email a quote three days later. By then they've hired someone else.

Your two crews start the day without a clear route. Crew A drives 20 minutes to one job, then backtracks past Crew B's area for the next. When it rains Tuesday, you spend the evening calling every customer to reschedule.

After SchedulingKit

A homeowner books 'Weekly mowing: up to 1/4 acre' at 9pm from her phone and pays for the first visit. It goes to a crew that offers that service and is free on Thursdays, and after the first cut you book her as a weekly recurring series (Pro plan).

Rain hits Tuesday morning. You open the dashboard and move Tuesday's six jobs to Thursday one by one; each customer is notified of the new time. Wednesday evening they get their reminders.

Thursday morning the crew lead checks the app for each property's notes (gate code, dog in yard) and works through the day. After each job he marks it completed, and customers get a review request the next day.

Gift cards

Gift cards aren't a big channel for most landscaping services, but some clients like to gift a yard cleanup. You issue the card in SchedulingKit, and the recipient redeems it when they book online.

  1. Take payment for the gift the way you already do: in person, by phone or on your own website. SchedulingKit doesn't sell gift cards online.
  2. In Finance → Gift Cards, create the card with its amount and the recipient's details, and tick “Send gift card to recipient via email”.
  3. The recipient books online and enters the code under “Discounts & Credits”.
  4. The card covers the booking up to its balance. Any remaining balance stays on the card; anything still owed is paid at checkout.

Gift cards apply to bookings (not packages or invoices) and are included on the Pro plan and above. If a booking paid with a gift card is cancelled, restore the balance with Adjust Balance. More about gift cards

Reviews after appointments

Collect feedback from real clients after their appointment. Clients typically comment on how the yard looked and how reliable the crew was.

  1. Turn on review requests in Settings → Modules → Reviews and choose the delay (1–168 hours after the appointment; 24 by default).
  2. When you mark a booking completed, SchedulingKit emails the client a private review link tied to that booking.
  3. The client leaves a 1–5 star rating and a comment.
  4. Approve or reject each review, or auto-approve reviews above a star rating you set, and reply if you want to.

Approved reviews and your average rating appear on your booking site; your replies are shown to the client in their customer portal. Requests are sent by email only. SchedulingKit doesn't collect or monitor Google, Yelp or Facebook reviews. Included on the Standard plan and above. More about reviews

More SchedulingKit features for Landscaping Services

Invoices for appointments

  • When a client pays online at booking, SchedulingKit creates the invoice for you, marked Paid, or Partially Paid if only a deposit was taken.
  • Create other invoices in Finance → Invoices with line items, tax, discount and notes, then send them with a payment link.
  • Clients pay from the link by card or PayPal. You can also split an invoice into installments, mark it paid offline, or refund it.

Invoices cover service billing, not accounting, tax filing or insurance claims. Tax is added on invoices you create, not at online checkout, and there are no automatic reminders for unpaid invoices. Paying online needs a connected payment provider (Standard plan and above). More about invoicing

Client records and booking history

  • Every booking creates or updates a client record, matched on email.
  • Each record keeps contact details, addresses, staff-only notes and notification preferences.
  • See each client's upcoming and past bookings, total bookings, total spent and reviews, and search clients by name, email or phone.

This is appointment-focused client management, not a sales CRM: there are no pipelines, deals, tags or custom fields, and no CSV import or export. More about client records

Staff availability and assignment

  • Invite staff, give each a role, and set their own working hours and days off by service and location.
  • Choose which staff perform each service. Clients can pick a staff member or choose “Any Available”.
  • Share work with Round Robin (random or equal distribution), or use Collective scheduling when several people must attend.

The Free plan covers one person. Round Robin and Collective scheduling are included on the Pro plan and above. SchedulingKit doesn't do shift rotas, dispatch or route planning, or room booking. More about team scheduling

Common Scheduling Mistakes in Landscaping Services

Avoid these pitfalls that cost landscaping services businesses time and money

Not routing crews geographically

Group jobs by neighborhood so crews work a tight area each day. SchedulingKit doesn't optimize routes, so plan areas when you set each crew's hours.

Phone-only booking during business hours

Enable 24/7 online booking. Most homeowners search for landscapers in the evening and on weekends when you're not answering calls.

Calling every customer after a rainstorm

Reschedule affected jobs in SchedulingKit so customers are notified of the new time automatically, instead of calling each one.

No before-and-after photo documentation

Keep before-and-after photos in your own job or field-service app; SchedulingKit doesn't store photos. Photos prevent billing disputes and double as powerful social media marketing content.

Selling only one-time services

Offer recurring weekly and monthly plans at a slight discount through a separate service or package. Recurring customers provide stable revenue over a season.

What to Look For in Landscaping Services Scheduling Software

Weather rescheduling

In landscaping. Outdoor work is at the mercy of rain, frost and heat, so check how quickly you can move a day's jobs and notify customers. Some field-service platforms move jobs in bulk; in SchedulingKit you reschedule each job and customers are notified.

Crew and equipment management

Essential for larger operations. If you need trucks, trailers and mowers assigned per job, look for a field-service platform; SchedulingKit schedules crews, not equipment.

Route optimization

Impacts profitability, and it's a field-service feature SchedulingKit doesn't offer. If your crews visit many properties a day, grouping jobs by area and estimating drive times may matter more than online booking.

Seasonal service changes set landscaping apart.

You move from mowing in summer to leaf removal in fall and snow in winter, each with different pricing. Check how easily you can add and retire seasonal services.

Photo documentation and proposals belong in your field-service or estimating tool.

SchedulingKit books the estimate visit but doesn't store photos or send proposals.

Finally, test the customer side.

Can homeowners book an estimate visit or a standard service from their phone in the evening, and get reminders before you arrive? That's what wins the customers who call three companies and book the first one that answers.

Switching to SchedulingKit for Landscaping Services

Export your customer list with property

Addresses, service plans, pricing, preferred crews and property notes (gate codes, irrigation locations, areas to avoid, pet warnings), and copy the notes into each customer record. SchedulingKit doesn't import CSV files. Landscaping customers accumulate property context over years, and losing these details degrades service quality immediately.

Set up your service catalog with seasonal variants

Weekly mowing, biweekly maintenance, leaf cleanup, mulching, hedge trimming, snow removal, and any hardscaping or design services. Give each service a realistic duration so scheduling respects real-world constraints.

Build your crew roster with working hours and services.

If Crew A handles the north side of town and Crew B the south, plan their days so that holds; SchedulingKit doesn't use service zones.

Book recurring customers as recurring series

(Pro plan) with the correct crew, day of the week and service type. Landscaping customers are particular about their service day—moving a Thursday customer to Monday without notice will generate complaints. Check the first two weeks against your current route sheets.

Send customers a brief email or

Text announcing the new system with a link to their online portal. Highlight the features they care about: online booking, reminders and the ability to book extra services online. Launch the new system at the start of a season when service plans naturally reset, giving you the cleanest possible transition point.

Simple, Transparent Pricing

Free for one team member, with a booking page and email confirmations. Standard ($12 per seat/month) adds SMS reminders, online payments and review requests; Pro ($20) adds packages, recurring bookings and gift cards.
