Why Catering Companies Need Scheduling Software
Scheduling software for catering companies eliminates the back-and-forth that costs you clients and revenue. When potential customers can book online in seconds rather than calling during business hours, you capture demand that would otherwise go to a competitor.
Manual booking processes in catering companies lead to double-bookings that damage client trust, empty slots that drain revenue, and administrative overhead that pulls staff away from service delivery. These inefficiencies compound over time.
The right scheduling tool for catering companies handles service-type flexibility, staff assignment rules, integrated payments, and client communication workflows. It should feel purpose-built for your industry, not retrofitted from a generic template.
Sound Familiar?
Catering companies spend hours on back-and-forth emails just to set up a first call or tasting. By the time you respond, the client may have booked someone else.
How SchedulingKit Solves This
Purpose-built features for catering companies that save time and grow revenue

From sign-up to your first booking in minutes, not days
Inquiry becomes a consultation
At 10pm, a couple planning a 120-guest wedding books a 30-minute video consultation for Tuesday from your website.
Tasting
After the call, you send your proposal from your catering software and the link to book a tasting. They book Saturday at 2pm with your chef.
Deposit and balance
When they confirm, you take a 30% deposit and send an invoice with the balance due the week before the wedding. Menus, dietary counts and prep stay in your catering software.
After the event
You mark the final booking completed, and the couple gets a review request the next day.

Gift cards
Gift cards aren't a big channel for most catering companies, but some clients like to gift credit toward a catered dinner party. You issue the card in SchedulingKit, and the recipient redeems it when they book online.
- Take payment for the gift the way you already do: in person, by phone or on your own website. SchedulingKit doesn't sell gift cards online.
- In Finance → Gift Cards, create the card with its amount and the recipient's details, and tick “Send gift card to recipient via email”.
- The recipient books online and enters the code under “Discounts & Credits”.
- The card covers the booking up to its balance. Any remaining balance stays on the card; anything still owed is paid at checkout.
Gift cards apply to bookings (not packages or invoices) and are included on the Pro plan and above. If a booking paid with a gift card is cancelled, restore the balance with Adjust Balance. More about gift cards
Reviews after appointments
Collect feedback from real clients after their appointment. Clients typically comment on the food, the service staff and how smoothly the event ran.
- Turn on review requests in Settings → Modules → Reviews and choose the delay (1–168 hours after the appointment; 24 by default).
- When you mark a booking completed, SchedulingKit emails the client a private review link tied to that booking.
- The client leaves a 1–5 star rating and a comment.
- Approve or reject each review, or auto-approve reviews above a star rating you set, and reply if you want to.
Approved reviews and your average rating appear on your booking site; your replies are shown to the client in their customer portal. Requests are sent by email only. SchedulingKit doesn't collect or monitor Google, Yelp or Facebook reviews. Included on the Standard plan and above. More about reviews
More SchedulingKit features for Catering Companies
Invoices for appointments
- When a client pays online at booking, SchedulingKit creates the invoice for you, marked Paid, or Partially Paid if only a deposit was taken.
- Create other invoices in Finance → Invoices with line items, tax, discount and notes, then send them with a payment link.
- Clients pay from the link by card or PayPal. You can also split an invoice into installments, mark it paid offline, or refund it.
Invoices cover service billing, not accounting, tax filing or insurance claims. Tax is added on invoices you create, not at online checkout, and there are no automatic reminders for unpaid invoices. Paying online needs a connected payment provider (Standard plan and above). More about invoicing
Client records and booking history
- Every booking creates or updates a client record, matched on email.
- Each record keeps contact details, addresses, staff-only notes and notification preferences.
- See each client's upcoming and past bookings, total bookings, total spent and reviews, and search clients by name, email or phone.
This is appointment-focused client management, not a sales CRM: there are no pipelines, deals, tags or custom fields, and no CSV import or export. More about client records
Staff availability and assignment
- Invite staff, give each a role, and set their own working hours and days off by service and location.
- Choose which staff perform each service. Clients can pick a staff member or choose “Any Available”.
- Share work with Round Robin (random or equal distribution), or use Collective scheduling when several people must attend.
The Free plan covers one person. Round Robin and Collective scheduling are included on the Pro plan and above. SchedulingKit doesn't do shift rotas, dispatch or route planning, or room booking. More about team scheduling
Client self-service portal
- Clients sign in to your portal with a password or an emailed login link.
- They can see upcoming and past bookings, reschedule or cancel future bookings, check package balances and leave reviews.
- Invite a client from their record with Send Portal Invite; the booking confirmation page also links to the portal.
The portal shows bookings, packages and reviews. It doesn't show invoices, payments or documents. More about the client portal
Popular Integrations for Catering Companies
Connect with the tools you already use. See how each integration works specifically for catering companies.
Calendar
Block prep days and delivery windows alongside the event itself—a Saturday wedding occupies your kitchen from Thursday.
Video Conferencing
Run tasting consultations and menu walkthroughs by video for out-of-town clients planning destination events.
Payments
Structure event payments—deposit at booking, balance before the event with guest-count finalization—so headcount changes are settled before you buy food.
Notifications
Send guest-count confirmation requests 10 days before each event—the gap between estimated and final headcount is where catering margin dies.
Marketing
Segment corporate and wedding pipelines separately—corporate repeats monthly while weddings are one-shot, and each needs different nurturing.
Automation
Trigger a menu-preferences and dietary-restrictions form at booking so menus are planned once, not revised weekly.
CRM
Track venue contacts and event planners as referral sources—venues that recommend you are worth more than any ad channel.
Website
Publish sample menus with per-person pricing tiers and an event-inquiry form that captures date, headcount, and venue in one step.
Accounting
Track food cost per event against the quoted per-person price so menu pricing keeps pace with ingredient inflation.
Developer
Use webhooks to push confirmed events into your kitchen-production calendar with menus and headcounts attached.
